Payment / Billing Policy

  1. Introduction
    This Payment / Billing Policy (“Policy”) governs all payment-related matters concerning the online language learning services provided by Cirellum Limited (“Cirellum”, “we”, “our”, “us”) through https://cirellum.com (the “Website”). This Policy forms an integral part of our Terms & Conditions and must be read together with our Refund & Cancellation Policy, Privacy Policy, Cookies Policy, and Disclaimer.
    By purchasing lesson packages, booking lessons, or subscribing to any services offered by Cirellum, you expressly agree to the terms set out in this Policy.
  2. Pricing and Currency
    All prices displayed on the Website are shown in the currency specified at checkout. Prices may be displayed in EUR or other currencies depending on your location or platform configuration. The final amount payable will be clearly indicated prior to payment confirmation.
    Cirellum reserves the right to modify pricing at any time for future purchases. Price changes do not affect completed transactions. Promotional prices, discounts, and special offers may be subject to time limitations and specific conditions disclosed at the time of purchase.
    All prices are inclusive or exclusive of applicable taxes as indicated during checkout, in accordance with Irish and EU tax regulations.
  3. Payment Requirement and Prepayment
    All services must be paid in full in advance unless expressly agreed otherwise in writing. No lesson will be considered confirmed until payment has been successfully processed and a confirmation has been issued.
    By submitting payment information, you confirm that you are authorised to use the selected payment method and that sufficient funds or credit are available.
    Cirellum reserves the right to refuse or cancel transactions in cases of suspected fraud, unauthorised payment use, or violation of applicable law.
  4. Payment Processing — Powered by Stripe
    All payment transactions on the Cirellum platform are processed exclusively through Stripe, a global leader in online payment infrastructure. Stripe is a PCI-DSS Level 1 certified payment service provider, which represents the highest level of certification available in the payments industry.
    How Stripe processes your payment
    When you complete a purchase on cirellum.com, your card details and payment information are transmitted directly and securely to Stripe’s servers using TLS/SSL encryption. Cirellum does not at any point access, store, or transmit your full card number, CVV, or banking credentials. Your sensitive financial data never passes through Cirellum’s own servers.
    What Cirellum receives from Stripe
    Upon successful payment, Cirellum receives only a confirmation token, a transaction reference ID, the last four digits of the card used, billing country, and payment status. This information is used solely for order processing, customer support, and internal financial records.

Payments made to Cirellum will appear on your bank or card statement under the descriptor CIRELLUM.COM. If you do not recognise a charge under this descriptor, please contact us at support@cirellum.com before initiating a dispute with your bank. Our team will provide full transaction details and a receipt upon request.

Supported payment methods
Through Stripe, Cirellum currently accepts the following payment methods:
• Visa and Mastercard (debit and credit)
• American Express
• Apple Pay and Google Pay (where available)
• SEPA Direct Debit (for eligible EU customers)

Available payment methods may vary depending on your location and the device used. The supported options will be displayed at checkout.
Currency conversion
If your card is issued in a currency other than EUR, your bank or card issuer may apply a currency conversion. Cirellum has no control over conversion rates or fees applied by your financial institution. We recommend contacting your bank for details before completing a purchase.

  1. Billing Authorisation
    By completing a purchase, you authorise Cirellum and Stripe to charge your selected payment method for the total amount displayed at checkout, including applicable taxes and fees.
    Where subscription services are introduced, you authorise recurring charges in accordance with the billing cycle disclosed at the time of subscription. Recurring payments will continue until cancellation is made in accordance with the applicable terms.
    You are responsible for ensuring that billing information remains accurate and up to date.
  2. Failed or Declined Payments
    If a payment is declined, reversed, or otherwise fails, Cirellum reserves the right to:
    • Suspend lesson access
    • Cancel scheduled lessons
    • Restrict further bookings
    • Recover outstanding amounts through lawful means

Where recurring payments fail, access to services may be suspended until the outstanding balance is resolved. Repeated failed payment attempts may result in account termination.

  1. Refund Processing
    Refunds, where applicable under the Refund & Cancellation Policy or required by law, will be issued to the original payment method used at the time of purchase, via Stripe. Refunds are initiated by Cirellum on Stripe’s platform and processed in accordance with Stripe’s standard timelines.
    Refund processing times depend on Stripe, your card issuer, and your financial institution, and may take between 5 and 14 business days to appear in your account. Cirellum is not responsible for delays caused by banks or payment processors beyond our reasonable control.
    Third-party transaction fees deducted by Stripe may be non-refundable where permitted by applicable law.
  2. Chargebacks and Payment Disputes
    If you believe a transaction on your statement is incorrect, we strongly encourage you to contact our support team at support@cirellum.com before initiating a chargeback with your bank. We aim to resolve all billing issues promptly and fairly.
    If you initiate a chargeback or payment dispute without first contacting Cirellum, we reserve the right to immediately suspend your account pending investigation. Where services were delivered in accordance with our Terms & Conditions and Refund & Cancellation Policy, Cirellum reserves the right to contest the chargeback and provide supporting documentation to Stripe and your payment provider.
    Unjustified chargebacks may result in permanent account restriction and potential recovery actions to the extent permitted by law.
  3. Taxes and Compliance
    Cirellum complies with applicable Irish and EU tax regulations. Where required, VAT or other applicable taxes will be charged in accordance with your location and the nature of the service. VAT is applied in accordance with EU digital services rules where applicable.
    You are responsible for providing accurate billing information necessary for tax compliance. In cases where reverse charge mechanisms apply, appropriate documentation may be required.
    Invoices may be issued electronically and stored for accounting and regulatory compliance purposes.
  4. Promotional Credits and Discounts
    Promotional credits, discounts, referral bonuses, or special pricing may be offered at Cirellum’s discretion. Such benefits may be subject to expiration dates, usage limitations, and non-transferability.
    Promotional credits generally have no cash value and are non-refundable unless required by applicable law. Cirellum reserves the right to revoke promotional benefits where abuse or misuse is detected.
  5. Fraud Prevention and Security Monitoring
    Stripe’s built-in fraud detection, Stripe Radar, monitors all transactions in real time for suspicious patterns, unusual activity, and known fraud indicators. Cirellum may additionally conduct reasonable verification checks on transactions.
    Transactions suspected of fraud, money laundering, or unauthorised use may be suspended or cancelled. Cirellum may cooperate with Stripe, card networks, and law enforcement authorities where required by law.
  6. Pricing Errors
    In the event of an obvious pricing error or technical malfunction resulting in incorrect pricing displayed on the Website, Cirellum reserves the right to cancel affected orders prior to service delivery. In such cases, a full refund will be issued via Stripe if payment has already been processed.
  7. Subscription and Automatic Renewal (If Applicable)
    If subscription-based services are offered, billing will occur automatically at the interval specified at purchase (e.g., monthly). It is your responsibility to cancel a subscription prior to the next billing cycle if you do not wish to continue.
    Failure to cancel before renewal may result in automatic charges for the next billing period processed through Stripe. Refunds for renewed subscription periods may be limited in accordance with the Refund & Cancellation Policy.
  8. Financial Record Retention
    In compliance with Irish accounting and tax regulations, transaction records may be retained for up to six (6) years or as otherwise required by law. Stripe retains its own transaction records in accordance with its data retention policy. Personal data related to billing is processed in accordance with our Privacy Policy.
  9. Limitation of Financial Liability
    To the maximum extent permitted by law, Cirellum shall not be liable for indirect financial losses, currency conversion fluctuations, bank fees, international transaction fees, or delays caused by third-party financial institutions including Stripe.
    Our total liability in connection with billing matters shall not exceed the amount paid for the relevant service giving rise to the claim.
  10. Amendments to This Policy
    Cirellum reserves the right to amend this Payment / Billing Policy at any time to reflect operational, regulatory, or legal changes. Updates will be published on the Website with a revised “Last Updated” date. Continued use of our services constitutes acceptance of the updated Policy.
